Position Description
The role of the laboratory office assistant is critical to the professional image Pioneer Technical Services wishes to portray and to the successful operation of the material testing laboratory business. The laboratory office assistant is the first person clients and potential clients meet, therefore the person in this position must maintain a courteous, professional look and attitude at all times. The primary responsibility of this position is to support the laboratory manager, which can include answering phones, greeting customers, writing reports, entering data, sending emails, assisting with proposals and invoicing. The secondary responsibility is to support the needs of the Engineering group in the Helena office. Added duties that can be performed as demand dictates are detailed below.

Position Requirements
Laboratory Office Assistant
• Answer/Direct Phone Calls
• Greet Visitors
• Employee Check In/Out
• Open/Stamp/Distribute Street Mail; Post Outgoing Mail
• Communicate requested field inspections and add to the schedule board
• Assist with data entry, report review, report scheduling
• Prepare client invoices within Ajera (accounting system)
• Order office and lab Supplies
• Update and maintain records, manuals
• Assist with vehicle and equipment maintenance logs
• Lock Doors At Closing
• Assist with engineering reports and proposals, including technical editing, proofreading, printing and binding
• Miscellaneous Administrative Duties Upon Request

Experience: 3 or more years’ experience doing similar type of work as an Administrative Assistant/Receptionist
Computer Skills: Basic computers skills are required. Must be knowledgeable in utilizing the Microsoft Office Suite. Familiarity or experience with Ajera accounting software (or similar) and Metafield laboratory information management system software (or similar) preferred.
